Either keep reading or watch the video below:
Let’s dive into my top tools for 2025!
1. Asana
First up is my ultimate favorite: Asana. You’ve probably heard me rave about this before, but seriously, this tool is a non-negotiable for me and my clients. And while I know everyone thinks that Asana sponsors these posts, all I can say is I wish! Haha.
I've definitely given them a lot of customers over the years, but unfortunately have not received any compensation.
But I love the tool so much that I will continue to rave about it because it has made such a huge difference for me and keeping all the things in my business running smoothly! And I even started dabbling in the paid features recently and I can't wait to show you all about them as well. I have been focused on helping you optimize the free version, which I will continue to do, but it has been highly requested for me to help with paid features as well, so it's coming!
Okay, so back to Asana and how it's my #1. Let me tell you a bit about it in case you have no clue what I'm even talking about.
What is Asana?
Asana is a project management tool designed to help teams and individuals track, organize, and execute tasks efficiently. It’s perfect for breaking down complex projects into manageable steps and ensuring nothing falls through the cracks.
Why I love it
Asana is my go-to for managing everything in my business—from client projects to content creation to personal goals, and even storing information.
What makes it so powerful is its flexibility. You can break down big goals into actionable tasks, assign them to your team (or yourself), and track progress all in one place.
For example, when I launch a new course, I create a project in Asana that outlines every single step, from brainstorming ideas to recording videos to setting up the sales page. I use templates to save time, so I’m not reinventing the wheel with every new project.
If you’re feeling overwhelmed by all the moving parts in your business, trust me, Asana can be a lifesaver.
And if you’re looking for even more help, I’ve created a free Asana SOP Bank System template and a video walkthrough that will have your procedures organized in no time. It'll also give you a taste of how you can set things up in Asana. I’ll link that below, so don’t forget to grab it.
2. Tella
The second tool on my list is Tella.
If you’re creating content, recording tutorials, or sharing client updates, you need Tella in your life.
What is Tella?
Tella is a video recording and editing tool designed for creating high-quality, professional-looking videos.
It’s perfect for tutorials, explaining things to clients with screen recordings, and content creation without needing advanced technical skills.
Why I love it
What I love about Tella is how user-friendly and reliable it is. You can record high-quality videos, edit them, and share them. Plus, you can add a button below your video if you're linking to something, and easily make quick design changes.
I also really like how it saves your previous layout, so if you want a certain colour to appear behind the video, or you want your face to show on a certain side or in a certain way, it will do that for the next videos until you change it. It's super customizable and easy to use.
I've used Loom and Veed previously, and I'm happy to have landed on Tella now. I highly recommend it.
So, for example, you can use Tella to create personalized onboarding videos for your clients. Instead of sending a long email, you can record a quick video walking them through a screen share of what you need them to see. It'll save you time and give your clients a better experience.
I use Tella a lot with my clients and my team members. It's super helpful for creating SOPs or giving feedback to my VA. And it's great for easily explaining a new system I set up for a client.
If you want to try Tella out, you can get 30% off using my link. Click here to lock in this forever discount! I do receive a small commission and I'm so happy to be able to offer you this discount, and it helps to support my channel. So thank you and I hope you love the tool as much as I do!
3. Canva
Next up is a tool I know many are already familiar with: Canva. But even if you’ve used Canva before, you might not realize just how powerful it is for your business.
What is Canva?
Canva is a graphic design platform that makes it easy for anyone to create professional-looking designs for social media, marketing materials, presentations, and more. It’s ideal for entrepreneurs who want nice visuals without needing advanced design skills.
Why I love it
I use Canva for everything from creating YouTube thumbnails to designing lead magnets to customizing client welcome packets.
What I love most is how it makes professional design accessible to everyone—without needing graphic design experience.
If you're preparing for a big launch and need a polished, cohesive look across all your materials—think email headers, Instagram graphics, YouTube thumbnails, you name it. Canva’s templates and brand kits make it so easy to keep everything on-brand and looking professional, even with a tight timeline.
If you’re not already using Canva, trust me, it’s a game-changer.
4. WhatsApp
Now, let’s talk about WhatsApp. You might think of WhatsApp as just a messaging app, but it’s become a core part of how I work with some of my clients.
What is WhatsApp?
WhatsApp is a messaging app that supports text, voice, and video communication. It’s widely used for personal and business communication, and it’s perfect for asynchronous communication, allowing you to stay connected without needing real-time interaction.
Why I love it
Here’s the thing: I’m a huge fan of asynchronous communication. In other words, communication that doesn’t require everyone to be online at the same time. It’s more efficient and less stressful, especially when you’re working across time zones.
In my Back-Pocket support service, I use WhatsApp to stay connected with clients. They can send me voice notes or messages whenever they need support, and I reply during my dedicated check-in times. This setup keeps things flexible for both of us while still providing personalized, high-touch support.
If you’ve been feeling overwhelmed by endless meetings or constant email back-and-forth, I highly recommend exploring async communication with tools like WhatsApp.
5. Zapier
Last but definitely not least is Zapier.
What is Zapier?
Zapier is an automation tool that connects different apps and automates workflows between them. It handles repetitive tasks, saving you time and reducing manual work.
Zapier connects lots of different apps and automates workflows between them.
Why I love it
It can do fun things too. Like, every time I get a new sale from Thrivecart, Zapier automatically collect the information and sends it to an app on my phone that makes a cha-ching sound alerting me to the new sale. When I look, the notification shows me what sale was made. And you can customize this to show whatever information you want. This is one of my favourite things because I'll just be pouring my coffee or cooking supper, when all of a sudden - cha-ching! I know I've made a new sale and get to immediately feel that joy and celebrate it!
If you’re not already using automation in your business, you’re leaving time on the table. Zapier makes it simple to get started.
